Add My Organisation as a Supplier to PEG Quote

Add the data relating to your company.

Company name, the registered name of your company.

Address, the registered address of your company including the postcode.

Description of Company/Goods and Services. A brief description of the services and goods your company provides.

The URL of your company web site to enable buyers to see more about your company.

Company Registration Number, the legal number of your company registered at Companies House.

VAT number, your official Vat number recorded with Customs and Excise.

Parent Company, any parent company if your company is part of a group of companies.

Annual Turnover, the annual turnover of your company as in your last set of published accounts.

Stock Holding, an indication of your stock holding if you are a supplier of goods.

Number of Employees, number of employees in your company.

Managing Director, the name of your Managing Director.

Other Directors, names of other Directors not including your Managing Director.

Existing Customers, an indication of the types of organisations you currently supply.

Accreditation, such as ISO, Corgi, IIP etc.

Other Information, any information you would like to bring to the attention of procurers. Please leave your email address.

Select OKAY to enter your application.

Your application will be suspended until checked by a system administrator.

However you can continue and complete your company entry.

Add my Organisation as a Procurer in E-Quote PEG Quote.

Add the data relating to your organisation.

Organisation Name, the name of your Business, Local Authority etc.

Officer Name, the name of the employee who will issue tenders and quotation opportunities.

Telephone number, the number for the named officer.

Fax number, the number for the named officer.

Password, the password to be used by the named officer when using the system. ( note this password as you will need it to login )

Address, the address of the organisation.

Email Address, the email address of the named officer.

Web Address, the URL of the organisation.

Select Insert Data. Your application will be suspended until it is checked and approved by a System Administrator. You will be notified when you are able to use the system to place Tender and Quote opportunities.

(When you login in as a Procurer see help below)

PROCURER.

Identify a requirement to purchase.

Optional

Open a new folder in Microsoft Office ( or similar ) called for e.g. e-procurement.

Create a spreadsheet of requirements.

Connect to www.nepeg.co.uk

Select Login. This is on the first screen in PEG Quote.

Three logins are offered : Procurers Login, Supplier Login, Guest Access.

Logon as a procurer.

Enter your I.D. and Password This is the I.D.and Password you were issued with when your application to be a procurer was approved by the system administrator.

( If you are not a subscriber then login as a Guest and complete the Procurer Application Form.)

Select the option ‘Add a Quote’. This is to enter a quote into the system.

Enter name of ‘Procurement Officer’. This is the name of the Officer responsible for the quotation opportunity.

Enter ’telephone number’ if not set as the default. This should be the telephone number of the officer responsible for the quote who will answer queries and offer advice.

Enter the ‘Title of the Opportunity’ This should be the name of the opportunity. For e.g. the Supply of Stationery for the period 01.09.2000 to 31.03.2001.

Enter the ‘details of the opportunity’. This is a free text field but could be for e.g. Please provide a price for the supply of 1000 metres 150mm x 25mm flooring.

In addition the facility exists at the end of the quote form to attach a file such as a spreadsheet.

Enter the ‘approximate value’ you expect to pay for the goods or service. This gives the potential supplier an indication of whether or not it is worth quoting.

Enter the ‘closing date’. This is the date when you will close this opportunity.

Enter the ‘time’. This is the time on the day after which you will not accept any more quotes.

Email address. This is the default email address of the procurer.

Tick the ’public box’ if you wish the details of your quote to be read by anyone or tick the ‘private box’ if you wish only the title of the quote to be published but the details to remain private to the procurer and invited suppliers.

Attach a file if required. Click on the ‘browse’ icon to view your hard drive. Select the file you require and insert data.

Click on the ‘insert data’ icon to enter this quote opportunity into the system.

You will receive a message ‘Entry was successfully submitted’

The details of your quotation are displayed on the screen.

To amend your quote or correct errors click on the ‘Amend Quote Details’ and your quote is displayed in amend mode and you can change the quote and resubmit it to the system.

Once you are happy with the quote content select the ‘Invite companies to quote’ icon which will take you into the main company directory.

If there is data missing from your quote or errors in the quote a message will be displayed on the screen ‘Error occurred while processing request’ This will identify the problem and you can return to the quote and correct the error and resubmit. For example the date may be prior to the current date.

Once in the main directory you have three options

Select the ‘Supplies Directory’, ‘Search’ or the ‘Services Directory".

If the quote opportunity is for the supply of goods then the best option is to select the Supplies Directory, if you wish to receive quotes for the provision of a service, a sub-contractor or hire of equipment then select the Services Directory. If you know the company whom you wish to quote then select the Search Option.

The Supplies Directory and the Services Directory offer a number of main categories, for example Building Services. Select the type of category you require displayed by clicking on the name. This will then display a number of sub categories . For example General Merchants. Select the sub category you require by clicking on the name.

This will display all companies listed.

Using the browse box select the region you require for example ‘North West’ or Nationwide if you do not wish to restrict the companies displayed to your region. Then click on the ‘Filter by area’ icon

This will display the companies able to supply to the selected region.

For further details about any company click on the name to visit the company details and once on the company page select the URL and go directly to the company web page.

To invite companies to quote select either the ‘Email all companies above’ icon to select all companies or tick the companies you wish to select and click on the ‘Email selected companies’ icon.

You will then be returned back to the home page of the directory.

If any companies have not been sent a quote request then the details will be displayed on the screen.

To invite more companies to quote simply go back to your quote, click to open it and repeat the process.

To view all quotes you have raised select ’View your quote requests’

To see the details of the companies you have selected for each quote, click on the quote and the details of the quote will be displayed together with the names of the companies and the email address the quote was sent too.

 

SUPPLIER.

Supplier Record.

Many procurers will search the BS directory looking for suitable companies to request quotes from. It is therefore essential you promote your company effectively. Ensure as much data as possible is provided and keep your company record up to date.

Connect to www.nepeg.co.uk

Select 'Login'.

Login as a supplier using your ID and password issued when you registered under the guest login.

If you are not a subscriber then login as a guest and complete a Supplier Application Form. To do this select add my organisation as a Supplier to PEG Quote.

Add company information.

Company Name

Company Address

Description of Company/ Goods and Services. A brief eye catching synopsis about your services and products

URL. Web site address of your company web site.

Company Registration Number

VAT Number

Parent Company ( if applicable, otherwise N/A )

Annual Turnover

Stock Holding

Number of Employees

Managing Director: Name

Other Directors: Names

Existing Customers: e.g. local authorities

Accreditation: e.g. ISO 9001

Then click on okay and data is entered in to suspense awaiting approval.

The system administrator will inform you of your ID number and password. You can then enter the system with the Supplier Login and update the rest of your company record.

 

Select ‘Edit your details’.

Your company record is displayed.

Select ‘Edit company information’ and amend/edit your company information. This gives you the opportunity to update the data you entered when you applied to join the system. Please ensure you enter your default email address, essential to enable you to receive quotation requests and have contract opportunities filtered and sent to you.

‘Company Information’ update if applicable.

‘Address’ update if applicable

‘Telephone Number’ The main telephone number where you wish to be contacted ( Other telephone numbers should be entered in contact information )

‘Fax Number’ The main fax number where you wished to be faxed.

‘Description of company/goods and services’ update the brief outline of your company profile used by procurers to select potential suppliers.

‘URL’ the address of your company’s web site offering a direct link for procurer’s to visit your web site.

‘Default Email address for quotations’ enter the email address at the mail box space ( where you wish to receive emailed quotation/tender opportunities )

‘Company registration number’ number of your company as registered at Company House.

‘VAT Number’ The registered VAT number of the company.

‘Parent Company’ The name of your parent company if you are in a group of companies.

‘Annual Turnover’ Relating to your most recent set of published accounts.

‘No of Employees’ Number of employees in your organisation

‘Managing Director’ Name of your Managing Director.

‘Other Directors’ Names of your Directors excluding the Managing Director.

‘Existing Customers’ The names of some of your main customers.

‘Accreditation’ Details of any accreditation’s such as ISO or Investors in People.

‘Other Information’ Any other information you wish to bring to the attention of Procuring organisations.

‘Password’ The password is alpha/numeric and is set by you to protect your company data.

‘User ID’ This is your company identifier set by the system administrator and used by you to log into the system.

 

Select ‘Edit Contact Information’

‘Add’ this enables you to add the details of your staff to be contacted by Procuring organisations.

‘Department’ Names of the departments in your organisation E.g. Sales, Buying, Accounts, Administration.

‘Name’ The employees name.

‘Position’ The title of the post E.G. Buyer, Sales Clerk

‘Tel’ The telephone number of the Post Holder.

‘Fax’ the fax number of the post holder.

‘Email’ The email address of the post holder.

‘Okay’ To update and save information.

‘Cancel’ To remove data from record.

‘Edit’ To change the existing data

‘Okay’ To update and save information.

‘Cancel’ To remove data from record.

‘Delete’ To remove data entry

‘Back’ To move back to company record page

Select ‘ Edit Distribution Area’. This puts your company into the relevant geographic distribution / business areas of the UK E.G. London.

‘Add’ displays a drop down window of areas to select. Scroll down and highlight the area and press okay. Repeat the process for each distribution area.

‘Okay’ To add a geographic area.

‘Cancel’ To delete a geographic area.

‘Edit’ To add a geographic area.

‘Delete’ To remove a geographic area.

Select ‘Edit Approving Organisations’ Enables you to give details of procuring organisations willing to act as online referees.

‘Add’ To add a new or additional Approving Organisation.

‘Approving Organisation’ The name of the company / local authority acting as an approver.

‘Position’ The title of the post of the approver E.G. Procurement Officer, Buyer.

‘Value of Services’ An indication of the value of business conducted with the Approving Organisation.

‘Email’ The email address of the Approving Officer.

‘Telephone Number’ The telephone number of the Approving Officer.

‘Fax Number’ The fax number of the Approving Officer.

‘Okay’ To update and save the information.

‘Cancel’ To delete the data from the record.

Select ‘Edit Product Group Information’ This places your company in the appropriate categories within the PEG Quote Directory E.G. Building Supplies: Electrical. This will determine the type of opportunities your company receives from Procuring Organisations.

‘Add’ Displays a drop down window of product groups to select from. Scroll down and highlight the grouping you wish to be registered in and enter okay. Repeat for each group listing required.

‘Edit’ To add additional group listings.

‘Delete’ To remove your company from Product/service group listings.

 

PEG Quote DIRECTORY.

Select icon ‘Browse PEG Quote’

Three options are available:

‘Supplies Directory’, ’Services Directory’, ’Search’

Supplies Directory

A number of supplies categories are displayed.

Select category required by clicking on the name

E.G. Building Supplies

A number of building supplies sub categories are displayed.

Select the sub category required by clicking on the name

E.G. General Merchants

A filter window is displayed.

Select the geographic area and choose an area or just use all names on the screen.

Select the geographic area and choose an area or just scroll all the names displayed on the screen.

E.G. Northern England

Select an Approving Organisation or use all approvers.

Select the ‘Apply filter’ icon.

The results of the filter are displayed on the screen in alphabetical order.

Select a company and click on the name.

The company record is displayed, name, address, brief description of company/goods and services, URL ( enabling a direct link to the company web page )

Select ‘Additional Company Information’ a record is displayed showing company registration number, VAT number, Parent Company Name, Annual Turnover, Stock Holding, Number of Employees, Name of Managing Director, Names of Other Directors, Product Service Groups ( applicable to this company ), the Distribution Area the company covers, Names of major customers, company accreditation, and Other Information the company wishes to publicise.

Select ‘Contact Information’ by clicking on the icon, the contact details are displayed. Name of employee, position of employee, telephone number, fax number and email address.

Click ‘Back’ to return to the supplier record.

Select ‘Approving Organisations’ for online referees, approving organisations are displayed. The name of the approving organisation, the name of the approving officer, the position held by the approving officer, the value of supplies/services provided by the company, the Email Address of the officer, the web address ( URL ) of the approving organisation, telephone number and fax number.

 

Services Directory.

A number of services/sub contractor categories are displayed.

Select category required by clicking on the name

E.G. Plant Hire Services

A number of plant hire services sub categories are displayed.

Select the sub category required by clicking on the name

E.G. Small Plant Hire

A filter window is displayed.

Select the geographic area and choose an area or just use all names on the screen.

Select ‘Contact Information’ by clicking on the icon, the contact details are displayed. Name of employee, position of employee, telephone number, fax number and email address.

Click ‘Back’ to return to the supplier record.

Search

The search facility enables the search for one company by name or part name.

Enter company name in the search field.

Click on search, the company name is displayed in search results or a message ‘ Results of search for ??????? no documents found’.

Click on name displayed to read company record.

A full alphabetical listing is displayed on the first screen. Scroll to read all companies and select the name of the company record you wish to read.

Click on ‘Back’ to return to PEG Quote home page.

Click on PEG Quote E-Quote logo to return to E-quote home page.

PEG Quote Home Page. ( Other options )

To use the home page move right side upper cog.

First choice is ‘Information’ click on bottom red dot.

About, Procurers Online and Coming Soon are displayed on the left side of the screen.

Select ‘About’ a screen of scrollable text is displayed giving details about E-Quote PEG Quote.

Select ‘Procurers Online’ and a window e-quote procurers is displayed giving details of all procuring organisations on the system able to post business opportunities.

Select ‘Coming Soon’ A screen of scrollable text about the future development of E-Quote PEG Quote is displayed.

Second choice is ‘Lets Chat’ click on middle red dot.

Chat groups are displayed on the left of the screen.

News, Announcements, Suppliers, Quotes, Buyers, Approvers.

Select a chat room. All conversations are listed, click on title of conversation to display details. The facility to add comments is available, '‘add a message' key in comments, user name, password (if applicable), and email address. Post as Anonymous ( if required).

Select ‘Review/Post Message’ The message is displayed with the option to post to the system, cancel the message or revise the message.

Post the message will add the message to the conversation.
